How TVB Stuttgart organizes its home games with Asana

TVB Stuttgart is not only a Bundesliga handball club, but also an important part of the local sports culture in Stuttgart. Since its beginnings, the club has developed into a permanent fixture in German handball and has gathered a passionate fan base around it. More than 5,000 spectators usually attend the home matches.

In addition to its sporting success, TVB Stuttgart is also involved in various social projects and is an important part of the community in Stuttgart and the surrounding region. The TVB Stuttgart team consists of more than just the players on the pitch. Behind the scenes, a dedicated team of coaches, physiotherapists, administrative staff and other professionals work hard to ensure the club's success both on and off the pitch. TVB Stuttgart is a medium-sized company in professional sport characterised by its innovative strength and desire to be a pioneer in many areas.

With the club's success and associated growth, the demands on the management and organization also increased. Sven Heib, Head of Events and Production at TVB Stuttgart: “I like to describe us as an event agency with a sports background.”

Initially, the structure at the club was very decentralized. Each employee had their own methods for managing tasks and processing emails. There was a particular need for optimization in the area of matchday organization, as many processes were inefficient and communication took place via various channels such as email and WhatsApp. Sven Heib: “There was no central platform or standardized project management tool, which made coordination and clarity difficult.”

With Asana, TVB Stuttgart found a flexible and user-friendly tool that perfectly met the club's needs. As a result, the club introduced Asana as a central project management tool to handle a wide range of tasks:

• Organization of home matches: The tasks are organized in different projects in the list view so that all areas such as match organization, VIP area, fans and equipment are covered. Each home game has its project template, duplicated and adapted for future games. This allows everyone to see at a glance which tasks have been completed and what the current status is.
• Organization of promotional events: Promotional events are planned and coordinated in Asana to ensure that everyone involved is aware of event details, activities and responsibilities. Sometimes 6-7 such events take place in just one weekend. With Asana Dashboards, the TVB can see with just a few clicks which player has already participated in how many promotional events.
• Jour Fixe: Weekly meetings are logged in Asana to record tasks and track progress.
• Invitation management: Asana forms are used to manage invitations to events such as the internal Golf Cup and to collect participant information.
• OKR Management: Asana supports the club's OKR (Objectives & Key Results) management by enabling the tracking of personal goals and results evaluation.
• Sponsor management: Asana helps manage sponsor relationships by providing an overview of open benefits and budgets.

PCG played a crucial role in the successful implementation of Asana.

It was important for us because Asana is a powerful tool. When introducing it, you have to be able to prioritize what you start with and what you might put on the back burner. To set up more complex processes and projects, a contact person is simply very helpful.

The introduction of Asana has created significant added value for TVB Stuttgart. The way the club works has become much more efficient and transparent.
