Harnessing the Cloud: Scalable Growth for MaintMaster
MaintMaster is a leading Computerised Maintenance Management System (CMMS) platform serving maintenance teams across manufacturing, automotive, energy, and food & beverage. Operating in more than 25 countries, the platform consolidates asset data, work orders, inspections, spare-parts inventory, and KPI reporting so organisations can reduce downtime, control costs, and make data-driven decisions.
The Challenge
Cloud-driven businesses often face a difficult balancing act: keeping complex systems running smoothly while scaling rapidly and controlling costs. As customer expectations for uptime and responsiveness rise, even minor disruptions can affect productivity, customer trust, and long-term growth. For software providers in industrial sectors, these pressures are especially acute, where operational reliability and cost efficiency are critical to success.
For MaintMaster, these challenges were becoming increasingly familiar. The company had grown rapidly, onboarding hundreds of tenant systems and expanding usage across Europe, which brought with it the same operational and financial pressures faced by many high-growth software providers.
As usage grew, so did expectations for performance and reliability. Even minor outages could potentially disrupt operations and affect customer confidence. Maintaining governance, visibility, and cost control across a rapidly expanding cloud environment became increasingly difficult, meaning that MaintMaster needed to strengthen stability, formalise operations, and manage costs while preserving agility and innovation.
The Solution
PCG implemented a managed Azure framework designed to bring structure, predictability, and scalability to MaintMaster’s operations. The goal was to modernise the environment through automation, observability, and clear operational governance, enabling the client to maintain reliability while continuing to grow.
- End-to-end observability. Unified monitoring of metrics, logs and events across Azure Kubernetes Service (AKS), SQL elastic pools and supporting resources, with documented alerting levels and automated notifications.
- Runbooks and knowledge base. Comprehensive documentation for recurring incidents, troubleshooting steps and service requests, enabling faster triage and consistent resolution.
- Shared dashboards. Grafana and Azure dashboards for real-time visibility, improving collaboration between first-line and cloud engineering teams.
- Automated backups and restores. Configured Azure SQL Database backups with flexible retention and point-in-time recovery for individual tenant databases.
- Disaster recovery architecture. Active–passive pattern with a warm standby cluster in a secondary Azure region, using infrastructure-as-code and automated failover scripts.
- Cost management framework. Tagging policies, resource decommissioning, reservation strategies and configuration tuning, reviewed monthly and quarterly to identify further optimisation opportunities.
Continuous improvement. Regular service reviews and architectural refinements to improve efficiency, reliability and transparency across environments.

Results & Benefits
The engagement delivered measurable improvements across system reliability, operational transparency, and cost control. Through continuous monitoring and automation, MaintMaster’s cloud environment became more stable, predictable, and easier to manage. The combined technical and business outcomes reinforced the platform’s ability to scale confidently while maintaining performance standards.
Technical Outcomes
The infrastructure evolved into a well-documented, resilient ecosystem that supports hundreds of tenant systems with minimal disruption. Incident volumes declined year-on-year, and mean time to resolution improved as processes matured and visibility increased.
- Reduced incidents: Year-on-year decline in major and recurring incidents due to proactive monitoring and automated detection.
- Faster recovery: Disaster-recovery setup enabled swift restoration of key services during high-impact events.
- Improved observability: Full-stack monitoring offered real-time insight into performance and utilisation trends.
- Consistent operations: Runbooks standardised incident handling, improving response quality and reducing variance.
- Scalable architecture: The Azure environment now supports sustained growth without compromising stability.
From Stability to Strategic Advantage
These technical advancements translated into broader operational value. MaintMaster gained greater confidence in its infrastructure, enhanced collaboration across teams, and stronger financial control through regular reporting and optimisation reviews.
- Higher availability: Customers experience fewer service disruptions and faster resolution when issues occur.
- Operational efficiency: Teams dedicate more time to product innovation rather than infrastructure management.
- Financial transparency: Cost reviews and tagging policies improved spend visibility and accountability.
- Customer trust: Consistent uptime strengthened reputation and long-term client relationships.
- Predictable growth: Cloud governance and regular optimisation ensure costs scale in line with business expansion.
Working Towards Greater Scale, Resilience, and Intelligence
The next phase of collaboration will be centred on scaling intelligently and adopting new technologies that further strengthen MaintMaster’s operational model. Over the coming period, the focus will include:
- Linux migration: Moving from Windows to Linux containers to increase scalability and reduce operational overhead.
- Resilience enhancements: Expanding automation within disaster-recovery processes and testing failover scenarios more frequently.
- Sustained cost efficiency: Continuing periodic cost reviews, refining configurations, and identifying new optimisation opportunities.
- AI-driven insight: Applying predictive analytics and machine learning to anticipate performance issues and support proactive maintenance.
Together, these steps define the next stage of MaintMaster’s cloud evolution—maintaining a steady trajectory of optimisation, innovation, and resilience. The Azure environment has been steadily strengthened through managed operations and engineering collaboration, creating a secure, efficient, and future-ready foundation that supports MaintMaster’s continued growth and innovation.
