Citytrans is a leading B2B logistics company and courier service in Switzerland, operating quickly, reliably, and with local knowledge for over 30 years. With over 200 employees and six locations in Switzerland, Citytrans offers specialized services, particularly in the area of MedLogistics (transport of blood bags, biopsies, medication, and samples), but also express deliveries, standing order services, and the transport of bulky goods. The focus is on individual, flexible, and reliable solutions for corporate customers. Challenges and Goals
Despite processes being documented in the Quality Management System (QMS), Citytrans’ operational workflows were very manual, decentralized, and error-prone. Documents were printed, signed on paper, and important information was managed in countless Excel lists and Word files. Especially the complex requirements for quality & compliance, as well as the necessity to quickly adapt to the changing needs of the four managing directors, demanded a flexible IT solution.
The primary goal was the comprehensive digitization and automation of processes to:
- Ensure central, consistent master data entry and reduce errors.
- Eliminate repetitive manual work (e.g., distributing master data to various systems).
- Improve adaptability and version control, which is essential for audits and ISO requirements.
- Increase efficiency and data security.
Solutions
As a company already using Google Workspace, Citytrans chose the low-code platform AppSheet to develop customized business applications. This made it possible to quickly convert the logic of well-known processes into functioning digital solutions that directly utilize the existing data.
In close cooperation with PCG, almost 20 apps were developed and rolled out in just one year, including:
- Automated Onboarding: The entire process, including master data entry and the distribution of data to various systems, is managed by apps—from the application to a digital personnel sheet (on a tablet) and a Google Account.
- Irregularity Recording: Every deviation is recorded, processed, trained, and automatically taken into account in the employee bonus system.
- IT Support: An internal ticketing system for the efficient handling of support requests.
- Quality App: An app for audit creation that supports compliance with strict quality requirements.
Other Apps: Solutions for duty rosters, key management, and an inventory app.
Next Steps: Vehicle management and service planning are the next major topics to be digitized with AppSheet. Furthermore, internal communication is currently being switched from WhatsApp to the data-protection-compliant Google Chat with automated Chat spaces, which will further professionalize workflows.
